Job Description

The role of the Proposals team assistant is to effectively manage and maintain the department’s processes and documentation control incompliance with corporate requirements. To drive systems to ensure that key proposal documentation is retrievable and auditable and to assist the team in creating internal & external technical and commercial documentation for submission. Provide an administrative and application support for the department.

 

 

Key Deliverables:

 

Work closely with the Proposals Team to support preparation (Application support) of proposals within specified timescales ensuring compliance with document control requirements

Implement and maintain systems and controls to ensure high quality and consistency in the preparation, collation and recording of all Proposal Documentation.

Perform regular systematic quality control checks on projects, to ensure departmental procedure is being upheld, using system report tools.

Provide reports to team to ensure all checklist and submission data is completed and ready for audit.

Collate/create/maintain department templates into consistent, coherent and professional documents.

Ensure all projects, and due submissions are recorded correctly onto the system to assist the Commercial and Tendering Manager in managing team workload.

Keep project and submission data up to date at all times. Entering new projects onto relevant systems, and setting up new client information in line with sales team and marketing requirements.

Update system with full submission data when sent, ensuring all data complete for accounts and key documents are linked to submission

Maintain document management in line with CWind procedures, ensuring documents are controlled and easily retrievable for future reference.

Identify, develop, implement and maintain quality check document control procedures, in line with already established internal procedures.

Organising team meetings and production and distribution of accurate meeting minutes

Assist in producing/amending departmental processes and procedures as required

Effective management of all departmental records including all necessary data reporting.

Ad hoc administrative support throughout department

Maintain team SharePoint Site and keep team updated, documentation links updated.

Maintain / improve reporting systems and produce KPI reports to company requirements, including weekly, monthly and quarterly KPI figures.

Maintaining the department procedure and ensuring processes and systems support this.

Required:

Advanced skills in Microsoft Office – Word, Excel, Adobe, etc. as this is the fundamental grounding required in this support role.

High level of Organisational Skills.

Previous experience of working in an engineering environment.

Ability to prioritise workload, meet deadlines and a track record in delivering results.

Flexible approach to work in order to support colleagues and meet department deadlines

Good interpersonal skills with the ability to communicate efficiently across all levels of the organization
